Admin Guide - Users

Managing Users

The Users section lets you create and manage all accounts in your organization — admins, instructors, students, and guardians.

Who can access this? Organization Admin, Branch Admin

User List

Go to Users from the sidebar to see all users across your organization.

The page shows:

  • Stats cards — Total Users (50), Active Users, Teachers (6), Students (38)
  • Search — Search by name or email
  • Filters — Filter by Branch, Role, Status
  • Action buttons — Import, Create User
  • User table with columns:

BranchBranch name the user belongs to

Pagination controls at the bottom for navigating large user sets.

Creating a User

Click Create User to open the user creation form.

Personal Information

Account Settings

Role-Specific Fields

Depending on the selected role, additional fields may appear:

  • Learner — Admission number, admission date, section
  • Instructor — Employee ID, department, qualifications
  • Guardian — Relationship to linked student(s)

User Details Page

Click View on a user to see their full profile:

  • Profile header — Name, avatar, role badge, status, email
  • Overview tab — Personal info, account details, role-specific information
  • Activity tab — Recent login and action history
  • Classes tab — Classes the user is enrolled in or teaches
  • Exams tab — Exams assigned or created by this user

Action buttons:

  • Edit — Modify user details
  • Reset Password — Send a password reset email
  • Deactivate/Activate — Toggle user account status
  • Delete — Permanently remove the user

Bulk Import (CSV)

Go to Users > Import to bulk-create user accounts from a CSV file.

  1. Download the CSV template
  2. Fill in user data following the column format
  3. Upload the CSV file
  4. Review the import preview for errors
  5. Confirm the import

Bulk Export

Go to Users > Export to download a CSV of all users. You can filter by branch and role before exporting.

Managing Roles and Status

  • To change a user's role, edit the user and update the Role field
  • To deactivate a user, click Deactivate on their details page — they will no longer be able to log in
  • To reactivate, click Activate on a deactivated user

Tips

  • Students can log in with either their email or institutional ID (e.g., SVKRM26S000004)
  • When creating guardian accounts, you can link them to student accounts to enable the parent portal
  • Use bulk import for large numbers of students at the start of an academic year
  • Deactivating a user preserves their data — deleting permanently removes it
