Understanding Roles

BeamedUp uses role-based access to ensure each user sees only the features relevant to them. There are five roles available in the organization portal.

Roles at a Glance

Organization AdminSchool director, principal, IT adminManages the entire organization - branches, users, settings, billing
Branch AdminCampus head, vice principalManages a specific branch - users, classes, and exams within their campus
InstructorTeacher, professor, trainerCreates exams and questions, manages classes, grades submissions
LearnerStudentTakes exams, views results, uses study tools
GuardianParent, family memberMonitors their child's academic performance and exam results

Organization Admin

The Organization Admin has the highest level of access within the portal. This is typically the person who registered the organization.

What they can do:

  • Create and manage branches (campuses)
  • Create and manage users (all roles)
  • Create and manage classes, exams, and questions
  • Configure organization settings (branding, academic structure, roles)
  • View analytics and generate reports across all branches
  • Manage subscription and billing
  • Create announcements for the entire organization
  • View audit logs of all activities
  • Import and export users via CSV

Branch Admin

Branch Admins manage a specific campus or location. They have similar capabilities to the Organization Admin but scoped to their assigned branch.

What they can do:

  • Manage users, classes, and exams within their branch
  • View analytics for their branch
  • Create announcements for their branch
  • Configure branch-level settings

Instructor

Instructors are the teachers and trainers who create educational content and assess students.

What they can do:

  • Create and manage questions in the question bank
  • Create, configure, and publish exams
  • Assign exams to their classes
  • Grade student submissions (essays, subjective questions)
  • View class rosters and timetables
  • View analytics for their students
  • Monitor exams with proctoring tools

Learner

Learners are the students who take exams and use study tools.

What they can do:

  • View their dashboard with stats, gamification, and schedule
  • View and take exams assigned to them
  • Review exam results and answers
  • View gamification features (achievements, leaderboard, points)
  • View attendance records
  • View report cards

Guardian

Guardians are parents or family members who monitor their children's academic progress.

What they can do:

  • View a parent dashboard with all linked children
  • Switch between multiple children using the child selector
  • View each child's upcoming and completed exams
  • Monitor performance trends via analytics
  • View class rank and comparison data
  • Access their child's certificates
